Getting Last Minute Promotional Products When Your Event Is Days Away

Tips for Last-Minute Promos
Scott Kalapos on Sep 25, 2025

It’s always great to be invited to be at a last-minute event or to have your community think highly enough of you to ask you to sponsor an outing. The only problem is that it doesn’t give you enough time to plan your booth or order your giveaways for the crowds.

It isn’t an ideal situation, but it's not the end of the world. 4AllPromos has got your back. After being in business for over two decades, we’ve helped plenty of businesses in this exact scenario. Our 24-hour rush production services and expedited shipping save the day. With the right strategy and quick decision-making, you still have high-quality branded items in your hands before your event begins.

Rush Orders Are Possible When You're in A Pinch

An unexpected client meeting, a last-minute corporate event, or simply letting planning slip through the cracks are all times we’ve seen clients with the need for their promotional products "yesterday".

We have good news! 4AllPromos keeps popular items ready to streamline the printing processes. Promo giveaway items like logo pens, custom hats, drinkware, and promotional keychains are ready for rapid turnaround.  We do our best to keep our most frequently requested items on hand for these instances.

These items are available for one-day production, but if you have a couple of extra days, we also have plenty of standard 3-day production times for no extra fees. Careful planning, quick shipping, and lightning-fast decisions allow you to have promotional items in hand in 3-4 business days of placing your order.

Step 1: Choose Your Promotional Products

When time is your enemy, product selection becomes critical. There are almost 4,000 items to choose from in our catalog that come with 24-hour rush production. You need to focus on making a quick decision.

Navigating the category doesn’t have to be hard. If you’re not sure what kind of product you want, try sorting by average review rating to find highly rated items, review count to find popular items, sell price to stay in your budget, or minimum quantity, depending on the volume you need.

When you already have an idea of what kind of product you want to order, the side menu contains filters for color and categories. Selecting a category will expand further filter options like price range, size, features, brand, and materials. We even have options to filter for Made in USA products,  items that fit better for corporate gifting, and even items with low minimum order quantities

It’s a good idea to keep your imprint simple, too. Single-color imprints in one location avoid adding any additional processing time to your order. When you send in multi-color designs, embroidery, or special effects, it takes longer in production or may not be available for rush services at all.

Step 2: Submit Artwork Immediately

The moment you decide on your product, artwork submission becomes your next critical step. Upload a vector logo file (AI, EPS) or the highest resolution PNG or JPG you have available. The higher the quality of the file, the easier it is for our art department to prep your proof. This matters when you're racing against the clock.

Avoid complex designs that require extensive setup time. Stick to your basic logo or simple text. When submitting your artwork, provide all the essential details upfront. Make sure you’ve selected your preferred imprint color, exact placement on the product, quantity needed, and the correct shipping address.

Clear communication from the start prevents time-wasting back-and-forth emails that can derail your timeline. Uploading your artwork with the order instead of emailing it later also saves time.

Step 3: Approve the Proof ASAP

Once you submit your order and artwork, the Art team creates a digital proof showing how your promotional item will look. This is where many rush orders can get stuck. We can not send your items to production without proof approval. We have this policy to make sure you will be happy with your final result.

The 24-hour rush clock doesn't start ticking until your order is sent to production and payment is processed. If you submit artwork on Monday but don't approve the proof until Wednesday, your items won't be ready until Thursday.

Pay close attention to cutoff times, too. At 4AllPromos, artwork must be approved by 12:00 PM EST to be sure production starts the next business day. Missing this deadline means adding another day to your timeline.

We do want you to review the proof carefully. But remember this is a rush situation. Sometimes "good enough" beats having nothing at all to send home with your new connections.

Approve the Proof Quickly

Step 4: Understand Rush Production Timelines

24-hour production doesn't mean your items will arrive in 24 hours. It means the actual printing and production process will be completed within one business day after your proof is approved and payment is processed.

We do offer a range of quantities available for rush production, but remember that larger quantities tend to be bigger shipping boxes and more expensive to expedite. Rush production comes with higher pricing tiers, but don’t worry, we display the price per item right on the product pages. The increase can be anywhere from a few extra cents to a couple of extra dollars per item. When your event's success depends on having promotional products, the additional cost is usually worth avoiding showing up empty-handed.

Understanding Timelines

Remember that weekends and holidays don't count as production days. If you place a rush order on Friday, production won't begin until Monday.

Step 5: Choose the Right Shipping Method

Getting your items produced quickly is only half the battle. Shipping speed determines when they actually reach your hands. For true rush orders, expedited shipping isn't optional; it's mandatory.

We ship all of our items via UPS. We offer UPS Ground, UPS 3 Day Select, UPS 2nd Day Air, UPS 2nd Day Air A.M., UPS Next Day Air Saver, UPS Next Day Air, and UPS Next Day Early A.M. on most of our orders. When you enter your general location information on the checkout page, you’ll be able to get the shipping cost estimates.

Choose the Right Shipping MethodAlways opt for the quickest shipping that your budget allows. To get items fast, we recommend Next Day Air options. Standard ground shipping typically takes 3-5 business days.

Communicate your absolute "in-hand date" to your account manager so they can work backward from your deadline and recommend the appropriate shipping method. Be as specific as possible, like "I need these items in my office by 10 AM Thursday," which gives them much more useful information than "I need these as soon as possible."

Once your order ships, make sure someone will be available to receive the package. Having your rush order sit at a loading dock because no one was available to sign will really thwart the extra money and efforts made.

What Are the Quickest Realistic Timelines?

Understanding what's actually possible helps set proper expectations and plan accordingly. Considering all the steps in the order process, from placing the order, submitting artwork to the art team, the art team creating your proof, proof approval, and then production and shipping, it is most realistic to plan for 3-4 business days for the quickest timeline. This is if you approve your art by 12 PM EST on Day 1. Production completes and ships with overnight shipping on Day 2. Items arrive on Day 3.

A more comfortable timeline that allows for minor hiccups while still qualifying as a rush order is a 5-6 day order. It also eases the cost of shipping if you are able to use 2-day instead of overnight.

We do not have the option for same-day service. There are too many moving parts and customizations when it comes to promotional products.

Tips for Success When You’re in A Rush

1. Order early in the day to ensure you don't miss critical cutoff times. A 9 AM order may be able to be sent to production on the same day if the art team has the capacity to rush your proofing process.

2. Consider calling your order in to talk directly with an account manager who can put the wheels in motion faster.

3. Communicate your event date clearly to your account manager or sales representative. They can work backward from your deadline and suggest the best combination of production speed and shipping method.

4. If your venue facility allows for it, ship directly to your event. This can save a day or two if you're traveling to an out-of-town event.

5. Have backup options ready. We do our best to meet our clients’ needs, but sometimes, between the time browsing and the art submission, the orders aren’t fast enough. It’s always a good idea to have a few promo products in the supply closet for moments like this.
